Hybrid Consultation & Mock surveys

 We adopt an innovative hybrid consultancy delivery, which combines onsite and online sessions for your survey preparation. In which our consultants do physical visits in the hospital to conduct patient tracers, departmental tracers, facility tour, staff and patient interviews etc, as well as we conduct series of intensive online sessions with hospital staff thru Zoom or Teams video conference.

Benefits of Hybrid Sessions

 International accreditation bodies conduct its survey thru hybrid methodology since March 2020.

 Survey preparation will not be affected from travel restrictions imposed due to COVID-19, hence no delay from plan for Hospital achieving accreditation.

 Offsite consultancy ensures more working hours than originally proposed in onsite, so it don’t affect the quality of service.

 We prepare and submit detailed (hourly basis) schedules, agenda and participants invitation in Two weeks advance, which ensures hassle free online sessions.

 Flexibility of changing schedules in short notice, if hospital staff need to attend a patient or business meeting during a scheduled online session, it can be rescheduled.

How we deliver Hybrid Consultancy

We use combined online strategy as given below to deliver the consultation in our Hybrid methodology

 Video conference for live face-to-face interactions between consultants and Hospital staff. We use Zoom meeting for conducting live trainings and chapter group meetings online. Consultant’s narration is backed up with high quality power point presentation presented over screen.

 File transferto send chapter wise policies, department manuals, and other forms and tools, we use ‘DROPBOX’ online share folder between consultants and Hospital’ s quality department.

 Screen Casts we use online screen sharing software to review Electronic medical records or similar computer-based data from Hospital.

 Emails:Hospital staff could reach any of our consultant team thru emails for clarification or sharing files.

 Scheduling: Our office will share detailed schedules in advance (2 weeks) including list of participants required for each session.

PHASE 01- GAP ANALYSIS

 Consultants work with department staff and quality tem members for gap assessment, review of existing documentations and organization’s current adherence to the standards and each measurable element of hospital accreditation standards.

 The assessment takes places via a combination of on-site visit(s), information gathering, and interviews. This assessment will support our consultants to prepare the project plan detailing timelines and responsibilities.

PHASE 02- PROJECT PLANNING

 On the basis of Gap assessment our consultants & trainers will design project plan detailing documentation requirements, timelines and responsibilities.

 This project plan will help us in Designing , Development &Modification of all the procedures, SOPs, work instruction(WI), Formats, Checklists, Manuals and other related documents as per standard requirements.

PHASE 03- TRAINING OF PROJECT TEAM

 Partners Senior Trainers conduct on site trainings to create awareness related to standard requirements to all concerned staff.

 Clearly define the intent & application of the requirements to the current to standards and ascertain the required accomplishment of implementation hospital wide.

PHASE 04- REVIEW, MODIFICATION & DEVELOPMENT

 In this phase, our consultants & Trainers will work on adequate Designing, Development & Modification of all the Procedures, SOPs, Work Instructions (WI), Formats, Checklists, Manuals and other related documents as per standard requirements. Partners Consultants International will completely be responsible for designing of Documentation as per requirement and training of the employees.

PHASE 05- IMPLEMENTATION

 Organization is completely responsible or timely Implementation of the accreditation requirements and patient care process in accordance with the advice of partners Consultants International; also arrangement of necessary resources and facilitation of consultants about the current activities and working methodology. The implementation process will include complete implementation, record keeping and running of what is written in the Procedures and related formats throughout the organization.

PHASE 06- INTERNAL QUALITY STAFF /AUDITORS TRAINING

 Throughout the project period, a quality link team is selected from different departments and a comprehensive training is given by Partners Consultants Qualified trainers & Auditors. Training will consist of exercises, group workshops, tracers and other exercise, hospital personnel are practically trained on the survey concepts and methodologies.

PHASE 07- MOCK SURVEY

 Once the requirements have been fully implemented, our auditors will conduct a mock survey to determine whether organization is ready for the formal audit. Below is very visible benefit of such exercise at this stage survey team consist of 3 surveyors representing same combination of official surveyors (Physician, Nurse & Admin) Hospital staff get a hands-on experience with sessions and tracers as survey simulation.

PHASE 08- FINE TUNING & TRACER PRACTICE

 Consultants will work with facility staff to close the gaps identified from mock survey, key staff members will undergo repeated tracer methodology practise.

PHASE 09- PREPARATION FOR FINAL SURVEY

 This phase involves preparation of survey logistics, document folders, last minute updates etc, and consultants will be available to assist staff members.
